Required Qualifications(as evidenced by an attached resume):

Bachelor's degree (foreign equivalent or higher). In lieu of Bachelor's degree, four years of relevant administrative or research experience may be considered. One (1) year of full-time administrative or research experience. Proficiency in Microsoft Word and Excel.


Preferred Qualifications:

Master's Degree (foreign equivalent or higher). Two or more years of administrative or research experience. Experience in an academic or research setting. Experience proofreading, editing and formatting documents. Experience conducting research (e.g., info mining or analyzing data). Advanced computer skills including Google Applications.


Brief Description of Duties:

Working within the Office of Proposal Development (OPD), the incumbent reports to a Proposal Coordinator and is responsible for assisting with grant applications by collecting, reviewing, editing, and uploading administrative documents. The successful incumbent will have excellent customer service and interpersonal skills, exercising strong organizational skills with exceptional attention to detail. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem solving as this position will support the proposal team (coordinators/specialists) in the many areas of proposal development.

The Office of Proposal Development's primary focus is on large-scale and/or interdisciplinary proposals involving multiple departments and external collaborators, also supporting early career investigators in launching or bolstering funding for their research program. Therefore, the OPD also notes that having experience effectively multi-tasking in a fast-paced, deadline driven environment with a high degree of accuracy and organization, and a positive attitude and an ability to work well with a wide variety of people is imperative for the success in this role. This position may include working some nights and weekends.

Duties:

  • Draft, format, secure and review required proposal documents to ensure compliance, including biographical sketches, current and pending funding, data management plans, letters of support, training records, and other required supporting documentation.

  • Decipher and extract key proposal requirements from the funding opportunity announcement and assist with developing a timeline of milestones to facilitate proposal planning and development. Initiate and maintain regular communication/meetings/shared document space with the entire proposal development team to ensure timely progress towards successful proposal submission. Serve as liaison with the Office of Sponsored Programs by maintaining regular communication to ensure the proposal meets sponsor requirements and university policies and timelines.

  • Assist with preparing and uploading documents into an internal proposal routing system called myResearch (Huron Click), and other sponsor application systems such as NSF Fastlane and NIH Assist.

  • Assist with conducting information mining and data extraction/analysis to support a broad range of strategic research development initiatives and resources, including (but not limited to) funding opportunities, emerging national initiatives, state/federal legislative priorities, etc.

  • Support general office functions including all clerical duties, calendar maintenance, appointments, reimbursements, customer service, website maintenance, event set-up/clean-up, and office management.

  • Provide administrative support related to the development and delivery of resources and trainings related to grantsmanship and proposal development/submission.

  • Other duties or projects as assigned as appropriate to rank and departmental mission.


Special Notes:

This is a full time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.


Evening and weekend work may be required at times.
