As an Executive Assistant you will report to the Chief Legal and Administrative Officer and support both the Chief Legal and Administrative Officer and the Chief Financial Officer.
What You'll Do
Schedule appointments and plan conference calls as well as executive, staff, and board meetings of varying complexity (including hotel, ground transportation, meals, on- and off-site social events and activities).
Manage travel arrangements for busy executives with frequent travel schedules.
Maintain and organize files, records, and databases, ensuring that information is easily accessible and up to date.
Assist with various board meeting activities, including preparing agendas and itineraries, reviewing presentations and related materials, building committee and board books, preparing documents for annual meeting, and drafting corporate resolutions.
Manage budget and reconcile expense reports.
Assist with management of corporate entities, including maintaining corporate minute books, stock certificates, officer / director lists, entity organizational chart, and other corporate records.
Assist with management of company equity plan.
Record, assemble, coordinate, analyze and evaluate material for correspondence, reports and projects.
Operate a variety of office equipment, and otherwise handles official clerical, administrative and business details.
As needed, serve as the primary point of contact for internal and external stakeholders, including screening and responding to emails and phone calls on behalf of the executive.
Prepare and edit correspondence, reports, presentations, and other documents for the executive team.
Assist in coordinating projects and initiatives by tracking progress, preparing reports, and liaising with team members.
Handle sensitive information with discretion and maintain confidentiality at all times.
Oversee office operations and ensure a smooth workflow, including ordering supplies, managing equipment, and handling incoming and outgoing mail.
Attend meetings, take minutes, and follow up on action items to ensure that decisions and tasks are completed.
Anticipate needs and proactively address issues to support the executive team in achieving their goals.
Perform other responsibilities as requested by leadership.
What You'll Have
Basic Qualifications:
Bachelor’s Degree or equivalent work experience required.
5+ years’ experience providing administrative support to Executives.
Previous experience in an administrative role, preferably supporting executives or senior management.
Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
Excellent written and verbal communication skills, with the ability to interact professionally with individuals at all levels.
Proficient in using office software such as Microsoft Office (Word, Excel, PowerPoint) and other tools for scheduling and communication.
Ability to work in a fast-paced environment, adapt to changing priorities, and maintain a high level of professionalism.
Keen attention to detail and accuracy in all aspects of work, including proofreading documents and managing data.
Strong problem-solving skills and the ability to think critically to resolve issues efficiently.
Demonstrated ability to handle confidential information with sensitivity and maintain a high level of discretion.
Experience planning meetings and working with hotels, restaurants, and other suppliers to produce a cohesive event.
Ability to type at a minimum of 70 WPM.
Strong organizational and interpersonal skills and proven ability to thrive in a fast-paced, multi-tasking environment.
Ability to accomplish assignments without need of close supervision and be diplomatic in interpersonal dealings.
Strong written and verbal communication skills, with ability to compose correspondence and interact with customers, co-workers, suppliers and others on behalf of the company’s management.
Preferred Qualifications:
Bachelor’s degree in Business Administration
Certified Paralegal through a 2 or 4 year degree or NALA
Experience with Diligent board portal.
Current Notary Public or willing to obtain Notary Commission after hire.
